We're recruiting for an enthusiastic and detail-oriented Scheduling Coordinator to join the team at our Tuff Shed Factory Store
The Scheduling Coordinator is responsible for coordinating and optimizing delivery and installation schedules across assigned service areas for Tuff Shed.
This role partners closely with customers, factories, production teams, field crews, and sales teams to ensure projects are scheduled efficiently, customer expectations are proactively managed, and operational capacity is maximized.
The essential functions for this position include but are not strictly limited to:
Customer Communication & Support
- Serve as a primary point of contact for customers throughout the scheduling process.
- Respond promptly and professionally to customer inquiries via phone, email, text, and other communication channels.
- Provide accurate updates regarding project timelines, installations, deliveries, and scheduling changes.
- Confirm appointments and communicate schedule expectations.
- Resolve customer concerns and coordinate solutions with internal teams.
- Maintain positive customer relationships while delivering a high level of service.
Scheduling & Coordination - Optimize schedules based on production timelines, crew availability, geographic placement, customer preferences, and delivery efficiency.
- Coordinate schedule adjustments resulting from weather delays, permitting issues, production delays, material shortages, customer requests, or other operational challenges.
Operations & Cross-Functional Collaboration - Collaborate with cross-functional teams to provide accurate scheduling information and project updates.
- Escalate scheduling risks or issues that may impact customer satisfaction, project timelines, or operational performance.
- Support continuous improvement initiatives related to scheduling processes and customer experience.
Systems & Data Management - Maintain accurate customer, project, scheduling, and communication records within company systems.
- Track and update project milestones and schedule changes in a timely manner.
- Ensure data integrity and documentation accuracy across assigned project
Performing all other duties, tasks and responsibilities as assigned by the Tuff Shed management
May be required to work overtime (including some weekend work) in order to fulfil the requirements of the role; in addition, s/he must work scheduled on-location hours as scheduled and must be present in the factory/store/office, as scheduled, and work all required hours.
JOB QUALIFICATIONS:- Ability to work effectively in a fast-paced, high-volume operational environment supporting multiple remote facilities and teams.
- Strong customer service skills with the ability to professionally manage escalated customer situations.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities with exceptional attention to detail.
- Ability to prioritize competing demands while maintaining accuracy and professionalism.
- Demonstrated problem-solving skills utilizing sound judgment and business reasoning.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Strong proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
- Ability to effectively communicate at all levels, including customers, business partners, suppliers, co-workers, managers, and the general public
- Ability to understand instructions orally, in writing or in diagram form
- Ability to work scheduled in-office hours is required in order to:
- Allow for direct supervision, observation of work performance, real time coaching and feedback, clarification of assignments and priorities, and timely intervention when questions, errors, or last-minute changes arise.
- Provide face-to-face onsite and real-time support to other employees, management, and leadership.
- Adapt to changing priorities, obtain direction and approvals, receive job-related feedback, observe and participate in company culture to assist with problem solving, and building relationships with onsite interdepartmental peers and leaders.
EDUCATION:
- High school diploma or equivalent
