OverviewPosition OverviewDivision/Section: Horticulture & Grounds Maintenance. Workdays & Hours: Monday through Friday 7:00 a.m. – 3:30 p.m.Purpose of DivisionThe Houston Airport System (HAS) Maintenance business unit delivers self-performed and contracted maintenance services at each of the three HAS airports.Purpose of the PositionThe Senior Inventory Management Clerk will assist and support the Horticulture & Grounds Maintenance Department and the Division Manager with duties including resolving contractor badging issues, assisting with EAMS documentation, and closing work orders in a timely manner to maintain departmental inventory and stock levels for general supplies, fencing supplies, uniforms, chemicals (including deicing products), and construction supplies such as cement, rock, stabilizing sand, and soil. Prepares purchase requisitions, maintains department vehicle and equipment logs and inventory, and coordinates repairs with the fleet department. Candidates must be able to obtain all required badge access, including Custom Border Patrol access, within 6 months of hire.ResponsibilitiesAssist with basic contract compliance by maintaining records of and tracking compliance documentation (monthly logs, weekly reports, back flow device certifications, drug compliance forms)Maintain and file weekly and monthly reports, data, and information. Create and monitor DocuSigns for various OSRsEnsure adherence to City and State guidelines for acquisition, storage, distribution, maintenance and disposition of inventory and related recordsAssist in creating, revising, or implementing procedures and guidelines for storage, inventory control, material management, safety, security, or basic accounting practicesReceive, unload, unpack, shelve, distribute, and deliver incoming parts, tools, materials, supplies, equipment, and inventory; assist with moving and loading surplus propertyCompare and verify incoming inventory for quality, quantity, accuracy, and suitability against invoices, PO, packing slips, and specificationsLead and train Inventory Management Clerks. Establish priorities and delegate workload. Oversee and ensure inventory records are accurately maintained. Investigate and resolve minor inventory discrepanciesCreate and maintain records/logs of materials received, stored, issued, delivered or distributed. Perform data entry using a purchasing and inventory control systemOversee, coordinate, and participate in physical inventory counts. Reconcile counts with inventory records; resolve discrepanciesForecast and identify trends to maintain current inventory levels in-house and on order. May determine reorder points and coordinate requirements for divisions with regular or special needs for suppliesContact vendors to obtain price quotes; select vendors and place orders for materials and supplies. Prepare requisitions and purchase orders. Follow up to expedite delivery, receipt, and paymentMonitor vendors' compliance with contract prices; resolve order discrepancies. Assist in basic contract administration activities (e.g., pre-bids). Maintain and file weekly/monthly reports and DocuSigns for OSRsMaintain storerooms, warehouses, and storage areas in a clean, orderly, safe, and secure condition. Ensure safety and security of materials, supplies, and propertyArrange for maintenance and repair of large equipment; perform minor maintenance as needed. Dispose of expired, spoiled, damaged, or obsolete itemsReceive and dispatch messages and work orders by telephone or radio to City work crews; maintain logs of messages and work orders. Close work orders in EAMS in a timely mannerReceive, store and issue hand tools, machine tools, parts, and other equipment. Track tools and equipment issued to and returned by workers; locate lost or misplaced itemsWorking ConditionsThe position may require lifting up to 60 pounds, walking on rough surfaces, and routine physical exertion. There are routine exposures to heat, cold, moisture, and unpleasant air conditions. May involve exposure to soiled materials and routine use of cleaning chemicals. Requires coordinated gross motor movements and precise hand-eye coordination within moderate demands.Minimum RequirementsEducational RequirementsRequires a high school diploma or GED.Experience RequirementsTwo years of inventory control, materials management, or record-keeping experience.
