Billing Specialist

The Billing Specialist is responsible for ensuring all services are accurately invoiced and delivered to clients in a timely and efficient manner. This role requires strong attention to detail, the ability to manage high-volume invoicing, and direct communication with clients to resolve discrepancies.

Principal Duties & Responsibilities:
  • Manage and generate all invoices and credit memos accurately and on time
  • Utilize scheduling portals to locate missing or delayed purchase orders (POs)
  • Follow up with clients directly regarding missing POs and document all communication in SAGE
  • Set up and maintain client information, inventory codes, and pricing schedules in the system and manual pricing book
  • Ensure proper application of sales tax on all invoices
  • Deliver invoices to clients per their preferred method
  • Maintain and distribute sales tracking reports to management
  • Communicate with clients to resolve billing issues, including pricing discrepancies and payment inquiries
  • Provide invoicing support to other offices as needed
  • Assist with name change requests related to invoicing when required
Qualifications & Skills:
  • Strong attention to detail and organizational skills
  • Previous ERP invoicing experience preferred
  • Ability to work independently and problem-solve effectively
  • Comfortable handling high-volume invoicing (60+ invoices daily)
  • Strong communication skills and customer service mindset
