Description:

Construction Administrator Admin In Houston

Performs clerical duties to assist the Construction Administration Department with clerical support.

Essential functions include:

  • Tracking directors site visits for expense reporting purposes.
  • Maintaining directors daily schedule and providing notifications of upcoming meetings.
  • Managing and updating the CA calendar; distributing daily schedules.
  • Performing daily tasks assigned by the director.
  • Supporting CA team members in the field and office as needed, including:
    • Uploading reports, meeting minutes, RFIs, drawings, and specifications to project folders.
    • Sending project-related emails.
    • Adding CA staff to projects in BUILD/FIELD.
    • Assisting with Excel, Word, and spreadsheet tasks.
  • Creating and scheduling meetings on calendars as requested by the director or CA members.
  • Assisting clerks with submittals and RFIs during periods of high workload, PTO coverage, or when administrative responsibilities are light.
  • Maintaining a log of surveys and designer site visits.
  • Distributing updated information on open issues for the directors' major projects.
  • Running and distributing the Submittal Stats to CA Director and President.
  • Providing front desk coverage for breaks and as needed.
  • Preparing agendas for department and remote meetings, taking meeting notes and distributing to team following each meeting.
  • Reviewing CA expense reports against issued field reports for accuracy.
  • Completing and submitting director's expense reports.
  • Tracking and managing job site signage, including ordering as needed.
  • Updating stamps in BUILD/FIELD.
  • Tracking and managing all office PPE inventory and ordering.
  • Coordinating with PM for designers to visit job sites.
  • Assisting and planning CA team-building activities.
  • Organizing CA yearly volunteering activities.
  • Scheduling and coordinating summer intern job site visits. (2 site visits per intern)
  • Assisting with badge access coordination for multiple school districts.
  • Performing additional assignments as requested/needed.

Education and experience required:

  • High School Diploma/GED with 1-3 years of related work experience.
