Patent Coordinator

Description:

The HT Group is partnering with a IP Law Firm to hire a Patent Coordinator to support the patent prosecution team. This role is responsible for managing incoming client requests, ensuring accurate task identification, and maintaining visibility over all active and pending work to support timely and compliant patent filings. This is a great opportunity for someone who is detail-oriented, proactive, and has experience working in a fast-paced IP environment.

Location - Houston TX (77046)
Comp - $65-75k base + bonus

What You'll Do:

    • Monitor and manage shared inboxes for incoming patent-related communications
    • Review and categorize requests such as patent applications, office action responses, and formal filings (e.g., IDS, assignments, declarations, extensions)
    • Identify urgency, deadlines, and required actions; route requests accordingly
    • Determine task type, jurisdiction, and appropriate resource (attorney, agent, paralegal, or docketing)
    • Create and update tasks within workflow or docketing systems
    • Ensure all required documentation and information is collected and complete
    • Track progress and proactively follow up on pending items
    • Identify and escalate risks, delays, or missing information
    • Partner with internal teams to optimize inbox management and task tracking processes
    • Ensure all requests are clearly documented, properly assigned, and completed
    • Act as a key administrative contact for attorneys and internal stakeholders

What We're Looking For

  • Bachelor's degree or IP Paralegal certification preferred not required
  • 3+ years of experience in intellectual property or patent prosecution support within law firm required
  • Strong understanding of U.S. patent processes and USPTO procedures
  • Experience with docketing and document management systems
  • Proficiency in Microsoft Office and IP-related software tools
  • Excellent organizational skills with the ability to manage multiple deadlines
  • Strong communication skills and attention to detail
