Accounts Payable Specialist

Description:

1.0 Position Summary

The Accounts Payable Specialist will be responsible for managing the company's accounts payable process, ensuring timely and accurate payment of invoices, and maintaining strong vendor relationships.

2.0 Reporting

Reports to: Accounting Manager

HR FLSA Status: Non-Exempt

Office hours: 8am - 5pm

We require a commitment to work after-hours when necessary to complete daily workload obligations.

Hourly Wage is commensurate with experience.

3.0 Essential Functions, Job Duties, and Responsibilities

  1. Process and verify invoices for payment, ensuring accuracy and proper coding
  2. Match purchase orders, invoices, and receiving documents (three-way matching)
  3. Prepare and process weekly check runs and electronic payments
  4. Reconcile vendor statements and resolve discrepancies
  5. Maintain organized filing systems for all accounts payable documentation
  6. Respond to vendor inquiries regarding payment status and resolve issues promptly
  7. Assist with month-end closing procedures and accruals
  8. Process employee expense reports and reimbursements
  9. Maintain accurate records in the accounting system
  10. Support annual audits by providing necessary documentation
  11. Performs all other duties or projects as assigned.
  12. Performs all other related duties or projects as assigned.

4.0 Education and Experience Requirements

Associates Degree or equivalent from two-year college or technical school; or three to five years related experience; or equivalent combination of education and experience.

Must have 2 years of experience in accounts payable and some bookkeeping experience.

5.0 Minimum Skills, Knowledge, and Ability Requirements

  1. Computer skills Proficient in Microsoft Office Suite and Adobe.
  2. Must be reliable and extremely trustworthy.
  3. Must be able to learn other accounting software systems.
  4. Excellent organizational skills and attention to detail.
  5. Ability to maintain confidential and meticulous records.
  6. Ability to read and comprehend simple instructions, short correspondence, and memos.
  7. Ability to write simple correspondence and to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  8. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, etc...
  9. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  10. Ability to deal with problems involving several concrete variables in standardized situations.

6.0 Work Conditions, Physical and/or Mental Requirements

  • Sedentary physical activity requiring reaching, lifting, finger dexterity, grasping, feeling, repetitive motions, talking, and hearing.
  • Visual requirement is for close vision, distance vision, peripheral vision, and ability to adjust focus.
  • 80% or more time is spent looking directly at a computer.
  • Employee is frequently required to stand, walk (or otherwise be mobile).
  • Employee is frequently required to lift and carry a minimum of 15 pounds.
  • Ability to deal with stressful situations as they arise.

Duties are primarily performed in an office environment. Minimal physical effort is required. Lifting and carrying requirements of up to 15 pounds. Occasional or frequent ability to move boxes from one location to another.
